Role Summary
The successful applicant will drive the Unit’s administrative functions to ensure its efficiency and effectiveness by providing professional and executive support to management.
Main Responsibilities
- Ensure the smooth and efficient operation of the department through administrative and/or secretarial support
- Provide professional frontline service to clients.
- Provide clerical support by completing all photocopying, scanning, binding in a timely manner to facilitate the effectiveness and efficiency of the Unit
- Draft, type and proof-read various documents ensuring accuracy.
- Schedule and attend meetings, record and report minutes as required.
- Assist with organizing and coordinating travel, seminars, conferences, meetings and events
- Administer and maintain systems and records ensuring the security of data; keep filing up to date so that complete records are available for reference; maintains up-to-date leave records/roster.
- Assist/provide research support as required.
- Attend meetings to record and report minutes as required.
- Maintain records and inventory levels for the Unit ensuring supplies are in stock, liaise with suppliers and vendors and prepare requisition, as necessary.
- Perform any other related duties as required by Supervisor or any senior officer in order to contribute to the effectiveness and efficiency of FSIU.
Minimum Qualifications and Experience
- Bachelor’s Degree in Business Administration, Management or related field
- Two (2) years working experience in a related area
- Typing speed 45-55 wpm
- Excellent oral and written communication skills
- Good knowledge of the use of standard office equipment and computer applications (MS Suite, etc.)
- Good analytical and decision-making skills
- Good interpersonal and organisational skills
- Ability to work well under pressure and meet deadlines
- Some knowledge of Government structure, policies and procedures
