Role Summary

The successful applicant will drive the Unit’s administrative functions to ensure its efficiency and effectiveness by providing professional and executive support to management.

Main Responsibilities

  1. Ensure the smooth and efficient operation of the department through administrative and/or secretarial support
  2. Provide professional frontline service to clients.
  3. Provide clerical support by completing all photocopying, scanning, binding in a timely manner to facilitate the effectiveness and efficiency of the Unit
  4. Draft, type and proof-read various documents ensuring accuracy.
  5. Schedule and attend meetings, record and report minutes as required.
  6. Assist with organizing and coordinating travel, seminars, conferences, meetings and events
  7. Administer and maintain systems and records ensuring the security of data; keep filing up to date so that complete records are available for reference; maintains up-to-date leave records/roster.
  8. Assist/provide research support as required.
  9. Attend meetings to record and report minutes as required.
  10. Maintain records and inventory levels for the Unit ensuring supplies are in stock, liaise with suppliers and vendors and prepare requisition, as necessary.
  11. Perform any other related duties as required by Supervisor or any senior officer in order to contribute to the effectiveness and efficiency of FSIU.

Minimum Qualifications and Experience

  • Bachelor’s Degree in Business Administration, Management or related field
  • Two (2) years working experience in a related area
  • Typing speed 45-55 wpm
  • Excellent oral and written communication skills
  • Good knowledge of the use of standard office equipment and computer applications (MS Suite, etc.)
  • Good analytical and decision-making skills
  • Good interpersonal and organisational skills
  • Ability to work well under pressure and meet deadlines
  • Some knowledge of Government structure, policies and procedures
