Role Summary

The successful applicant will perform administrative and secretarial services in a timely and professional manner.  

Main Responsibilities

  1. Provide professional frontline service to clients.
  2. Conduct research and prepare periodic reports to the department for management purposes.
  3. Draft and type correspondence and proof-read various documents ensuring accuracy.
  4. Maintain records and inventory levels for the department ensuring supplies are in stock, liaise with local and overseas suppliers and vendors and prepare requisition ensuring accuracy.
  5. Maintain records relevant to the specific department and also keep filing up to date so that complete records are available for reference.
  6. Organise and coordinate travel, seminars, conferences, meetings and events; attend, record and report minutes as required.
  7. Provide full administrative support to the Ministry/Department.
  8. Assist customers with completing forms
  9. Answer queries from the public regarding government services and procedures and directs persons to the appropriate ministry/department to ensure the query is dealt with as efficiently and effectively as possible.
  10. Conducts research on various subjects to aid p reparations of Cabinet Papers and Reports.
  11. Prepares Cabinet Papers and Housing Accommodation Committee Papers.
  12. Reviews and Process applications for visa waivers.  Updates database and issues visa waiver certificates.
  13. Serves as Desk Officer for Ministry of E &C and Ministry of H&SD on office accommodation matters.
  14. Conducts site visits and write appropriate correspondences to appraise the necessary persons.
  15. Receives and processes applications for temporary liquor licences.
  16. Reviews and process applications for games of chance.
  17. Perform any other duties as required by Supervisor or any other senior officers in order to contribute to the effectiveness and efficiency of the unit.

Minimum Qualifications

  • Bachelor’s Degree in Business Administration/Management, Public Administration or related field
  • Three (3) years working experience
  • Good knowledge of Government structure, policies and procedures
  • Good oral and written communication skills
  • Good knowledge of the use of standard office equipment and computer applications
  • Good analytical and decision-making skills
  • Good interpersonal and organisational skill
  • Ability to work well under pressure
